Setting up shared Calendars in Outlook 2003.

The following instructions will allow you to setup online sharing of your Outlook Calendar. There is a one-time $25 licensing fee but no additional monthly charges for this service. Before you proceed with this installation you MUST request a MAPI license from 42, Inc. - if you have not done this yet, please stop and email us with your name and email address and we will install the license and let you know when it is ready ($25 fee will apply).

Once you have received confirmation from 42, Inc. that your license is installed, please follow these steps:

1) Make sure Outlook is closed. Then, download the MAPI connector here and unzip and double-click on the setup.exe file and click "Install."



Choose "Yes" to configure your Mail Profile now:



Choose E-mail Accounts":


2) Once the MAPI connector is installed, open Outlook 2003
- Choose Tools>Options.
- Then choose Mail Setup and click on E-mail Accounts:

Choose "Add" for a new account or "View or change" to make changes:



Choose Additional Server Types:



Choose Communigate Pro Server (if this option does not appear here, please make sure you have installed the MAPI Connector in section 1.



Click Next and fill in the following on the Server tab:

Server Name: mail.42inc.com
Server Port Number: 993
Check box for "Use a secure (SSL/TLS) connection"
Check "Use the following Authentication details:
- insert your FULL email address and password
Check the boxes for both "Remember Password" and "Use Secure Authentication"



Ckick OK.

3) Configuring Your Email Account

Go to Tools>Email Accounts.


Click on Next.



In the field for “Deliver new email to the following location:”, make sure that your email account is displayed. If it is not, then click on the blue down arrow and choose your email account. Then click on Finish.

Sometimes the location will say Personal Folders if you have had other email accounts set up in Outlook 2003. If this is the first email account configured in Outlook 2003, then your email account (or Communigate Pro) will show up by default and you do not need to change this setting.

Copying Contents of Old Personal Folders to New MAPI Account

Open Outlook with your new MAPI account, and go to the Folder List view. You will see your new MAPI account as well as a “Personal Folders” section. You may have information in the old (Personal Folders) Contacts, Calendar, Inbox, etc. that you want to transfer to your new MAPI account. If so, do the following:

In the Personal Folders section, right click on “Contacts” and select “Copy Contacts”





A small Copy Folder window will appear. Scroll up and select your email account (not the Contacts folder in your email account) and click OK. The contacts from your old Contacts folder will be copied into you new Contacts folder.



Repeat this process for your Calendar and any other folder in your old Personal Folders section that you want to move to the new MAPI section.

If you only have one account, you will no longer need to use your old Personal Folders, and can use your new MAPI section exclusively.

Shared Calendar…
(This needs to be added to that section.)

Go to Tools>Options. Click on the Preferences tab, then click on the Calendar Options button.





In the Calendar Options window, click on the “Free/Busy Options” button.



In the Free/Busy Option window, check the box to “Publish at my location:” and enter the following into both fields below it:

https://mail.42inc.com/~%name%@yourdomainname.com/freebusy.vfb

Note that “yourdomainname.com” should be replaced by your real domain name. Everything else must remain the same.

Then click on OK to exit this window, click on OK to exit the Calendar Options window, and once more on OK to exit the Options window.

4) Find the Calendar folder for your newly created account.
Move the mouse over the Calendar folder and "right-click" and choose Properties":



In "Properties" choose the "Permissions" tab, and click on "Add" and enter the account name you would like to share your Calendar with. Just use the first part of the email address, not the full address.

[Example: If the user's account is anotheruser@domain.com, only add anotheruser, the part before the @ symbol.] Click OK, and the account will appear in the Name window. Click on this account in the Name window, then check off boxes in the lower section of the window to grant permissions to that user. To give multiple users access to your calendar, repeat this process of adding account names and granting permissions. See next section for examples of which permissions to grant. When done granting permissions, click on OK to exit the Properties window.



Once the account name is entered, click once on the name to highlight. You can add multiple accounts and give them each different levels of access to your Calendar.



Click "Apply" then "OK" and restart Outlook - you're done.
